Conditions of Participation — Mallorca International Art Fair

Dates: October 23–25, 2026
1. Purpose of the Fair
The Art Fair Mallorca celebrates contemporary and modern art, offering a platform for galleries, project spaces, and independent artists to connect with collectors, museums, and the public. The event aims to highlight innovation and current trends in the global art scene in a high-quality and accessible environment.
2. Application
- To participate, complete and submit the online application form.
- By submitting your application, you accept these Conditions of Participation.
- Applications are binding once submitted and cannot include conditions or reservations.
3. Admission
- The Organizer reserves the right to select exhibitors through a jury process.
- Admission decisions are final; there is no automatic right to participate.
- Accepted exhibitors will receive written confirmation. This confirmation forms the binding contract.
- All fees must be fully paid at least 60 days before the event.
- Failure to pay on time may result in exclusion and an administrative fee of 50%.
4. Exhibition Space
- Exhibition spaces range from 10m² to 200m².
- The Organizer determines all booth locations and sizes.
- The final booth size may vary by up to ±10%.
- Columns, walls, or permanent structures within a booth area do not entitle exhibitors to a reduction in fees.
- Exhibitors may not build their own walls, lighting rigs, or structures without approval.
5. Event Changes and Force Majeure
- The Organizer may change floor plans, booth sizes, or the fair layout when necessary.
- If the event is postponed, relocated, or cancelled due to reasons beyond the Organizer’s control (e.g. natural disasters, strikes, government restrictions, or safety issues), no compensation or refund will be granted.
6. Cancellation and Withdrawal
- After acceptance, withdrawal is only possible with the Organizer’s written consent.
- If your space is reallocated, a 50% cancellation fee applies.
- If you do not participate or cancel late, the full participation fee remains due.
7. Setup and Dismantling
- Setup: October 22, 2026 (from 9 a.m to 3 p.m.)
- Dismantling: October 25, 2026 (after 6 p.m.)
- Booths must remain open and staffed during all public opening hours.
- Only artworks approved in your application or by the jury may be exhibited.
- You must leave your booth clean and in original condition; any damage or waste removal costs will be charged to you.
- The Organizer may require removal of unsafe or unsuitable artworks.
8. Participation Fees and Payments
- Fees depend on booth size and include:
- Use of the exhibition space during setup, fair, and dismantling
- Basic lighting, cleaning, and waste disposal
- 100% of the fee (plus VAT) must be paid by the date stated on your invoice and no later than August 23, 2026.
- Late payment may lead to exclusion and a 50% administrative charge.
- All payments must be made in EUR to the Organizer’s bank account.
- Fees are non-refundable, except as otherwise stated.
9. Media and Promotion
- All exhibitors will appear in the official fair catalog (1/8 page) and website.
- Catalog advertising:
- Half page A5 Size: €100 + VAT
- Full page A4 Size: €180 + VAT
- By submitting images and text, exhibitors grant the Organizer the right to publish them in any printed or digital promotional material.
- Exhibitors confirm they own all necessary image and copyright rights and agree to indemnify the Organizer against third-party claims.
10. Co-Exhibitors and Shared Booths
- Booths are assigned to one exhibitor only.
- Subletting or sharing your booth requires prior written consent.
- Unauthorized co-exhibitors may result in termination without refund.
- Approved co-exhibitors share full financial and legal responsibility with the main exhibitor.
11. Liability and Insurance
- Exhibitors are responsible for insuring their artworks and materials against loss, theft, damage, fire, or water.
- The Organizer is not liable for property damage or loss unless caused by gross negligence or intent.
- Exhibitors are liable for any damage caused by themselves, their staff, or contractors.
12. Safety and Conduct
- Smoking and open flames are strictly prohibited at Motorworld Mallorca.
- Exhibitors must comply with all Spanish laws and safety regulations.
- The Organizer reserves the right to remove artworks or displays that are unsafe, offensive, or inconsistent with the fair’s objectives.
13. Legal Terms
- These conditions are governed by Spanish law.
- The legal venue for disputes is the Organizer’s registered location.
- Claims against the Organizer expire three months after the end of the event, unless otherwise required by law.
14. Final Provisions
- The Organizer reserves the right to adjust dates, duration, or layout due to unforeseen circumstances.
- Such changes do not entitle exhibitors to refunds or compensation.
